Module CG - Plugging People Into Groups

This is a very unpolished set of videos and content to help us all begin to use the connections systems in Rock.

As of right now, we are only able to use the connections pipeline for Groups and Serving, but I’m hoping to build out more sooner than later.

My apologies for the length of these videos. I hope to cut these down, tighten them up, and make them more specific in the future - but we haven’t built out all of this the way we’d like yet. Thanks for your patience.

Check out this video walking through the Connections Board in Rock.

In the video I was unsure of the timing of the Critical status on the Connections Board (the orange numbers). That literally just means the person hasn’t been contacted yet. It’s meant to make the urgency visible on that first page.

Also, on the front page of the Connections Board, there is a button you can toggle that says “My Active Opportunities”. That’s a simple way to make the board show ONLY the connections items you are responsible for.

Lastly, it’s possible to add someone directly to a group from the Connections Board. Check out this brief follow-up video that explains this process.

It’s worth noting that these placement groups only work for groups right now. We don’t have all (or even many) of our serving teams built out in the system yet, so it’s not worth setting up the placement groups to put people into them. In the future, most connections items will have placement groups so you can put people directly into the correct group to finish the connections process.

Lucky you, there’s no form to fill out when you finish this… for now… Consider this my reward for watching videos that were entirely too long.

A few updates to the videos above.

Open Connection - Current Group Status

One question has come up since this page was made. What if someone is already in a group and they sign up to join a new group? Or what if someone is in the connections process to find a group, and then they go join a group on the side (through the Groupfinder or some other way)? Will I know this?

This happens fairly frequently and I think I’ve found a solution. When you open up someone’s connection request, there is a space on the right side where the placement group is listed (the group you are assigning them to). That will only show the group you’ve assigned as a placement group - it won’t show other groups they might already be in. So I’ve set it up so that a red groups badge will appear under their personal information to show you if they are already a member of a community group.

NOTE: As of right now, it will only show people as being part of a group if their status in that group is Active (if they are pending for the group, they won’t show in that tag).

Placement Group Details

If you place someone in a placement group, they only appear in that group if you click the “Connect” button (or mark the connections item’s “state” as Connected - see image below).

So, if you find a group for a person, place them into that group as a “placement group”, THEN click the Connect button. (Or, to be safe, manually add them to the group yourself and just make a note, totally your call).


Duplicate Connectors

There is a bug in the connections system that manifests in a few spots. One spot it appears is by duplicating YOU in the connector list when you create a new contact item. As far as I can tell, it doesn’t matter which version of you that you click - they should both work.
